I wanted to write you to tell you how happy I've been with the X-Med software and the support I've been getting from you. The software is well laid out and makes our life easy in the office. We are especially pleased with the popup screen that allows us to seamlessly navigate from one function to another without the usually duplication of typing that comes with most office systems. It is obvious that X-Med was produced by a seasoned design team that has much experience in writing medical billing software.

I was naturally nervous about converting my computer system to X-Med. I had seen my colleagues suffer through the process with other computer vendors. But you took my data at closing time on a Friday and had me up and running on my new X-Med system on Monday without missing a beat. That was no small feat considering some of my data dates back to 1983! I can't say enough about the training and personal service we've gotten since installation. All our needs have been addressed promptly and efficiently.

I am also very happy with how cost effective the system has been. With the use of the diskless workstations, the cost of each workstation has been quite low, and we expect great reliability with the use of only one hard disk drive in the entire network.

This week we received a terrific upgrade to our current software system. We are delighted with our X-Med Users' Guide. Although our office has been computerized for almost ten years, we have never had a well-written reference manual. It is an excellent source of information for new users of X-Med. Right now, with several new employees on staff, the guide is particularly useful, since it is written in laymen's terms,with large, easy to read print and helpful illustrations. It is actually comparable to the user-friendly software manuals for some of the most popular programs, such as Windows, Word Perfect, and Word for Windows.

I am not at all surprised by this latest improvement in what X-Med has to offer our busy cardiology practice. Alex, we have worked with you for a long time; for many years before your company ever existed, we depended on you for our software support. You have always demonstrated your programming and analytical capabilities. With a company of your own, you are able to apply your skills to the everyday issues and developing changes in the health care system on an ongoing basis.

In the months since we contacted you about converting to the X-Med program, we have worked closely with you. Your X-Med program is economical to purchase and to maintain. It is amazing that this comprehensive and flexible system even surpasses the higher priced competition. With great anticipation, we embarked on an adventure that some people might consider their worst nightmare. Everyone dreads the massive job of moving patient records from one software program to another. Believe me, I would not want to do it again soon! We ran up against a few obstacles, but having an expert close by to guide us through helped so much, because we were reassured that for every problem there was a solution. For the most part, we were patient, but eager to get started using X-Med. We felt (and we were correct) that the initial effort would be well worth the resulting improvements.

Once we got started with X-Med there was no stopping us! Immediately, posting payments became easier because of our ability to tag the lines to which a check was to be posted. Saving steps saves time. Electronic claims is a feature of X-Med that we began to use right away. We have been successfully transmitting electronically to Medicare, and I expect that some time this week we will begin transmitting claims electronically to the private insurance carriers. It is wonderful that we can also ask you to customize a program for our particular needs. Now that we have a program that allows us to transmit electronically to Cardiology Network, our office is on its way to becoming paperless! Although you consider this program request to be an enhancement, I feel that your responsiveness to our needs adds a special quality that makes your system superior to others. I hope that you will always feel it is important to be available to your clients.

We have implemented a variety of improvements in other areas as well. As you know, we have created an easy to read superbill (with your help). Each one prints with the patient's name, account number, insurance information, balance, and the comment line from the information screen. We use them for all of our office patients as well as for labwork and echocardiograms. This led us to start using the computerized appointment schedule, which we print out daily. It includes account number, name, comments, and balance due. It is much easier to pull patient charts and make confirmation telephone calls from this list, which is printed for each physician, than from a handwritten appointment book. You probably do not know that we have also been printing out patient registration forms on all out patients. We ask the patients to review and update their information so that our written and computer records are correct.

One of my favorite features is the patient letters program. I have learned to use it in conjunction with the outstanding claims report to send out letters on delinquent patient accounts. I can quickly tag the accounts that need a letter sent. If I want to automate the process, it is even simpler to use your dunning letters program. I have yet to explore all the possibilities of the report writer, but we have already used the report writer to research matters that are of concern to the doctors. For example, we recently looked at payments for cardiac catheterizations by a particular insurance company, and calculated the total amount billed and paid for this procedure.

Please keep up the continuous updating of program features. We certainly appreciate your receptiveness to our suggestions and concerns. I look forward to a constantly evolving and improving future online with you.

Even in the beginning, X-MED was an incredibly easy system to use, especially for those of our office staff who are computer phobic. The menus and reports are very easy to understand and maneuver through, making it much more "user friendly" than our previous system. I myself am always finding more of the shortcuts which you've built into X-MED. With the increased speed and capabilities of your system, jobs that took hours before now take not minutes but seconds. As an example, we have one doctor who works for us and is paid a percentage of what he generates. With our previous system it would take nearly three hours to "run his report". Very important to all of us uwas the fact that not one piece of data was lost. Every single account, record, diagnosis, treatment, file and piece of patient information was transformed intact and complete from our previous system into X-MED. No other system that I researched could or would do that. Perhaps most important of all was was the simple fact that no other system on the market today was devised, developed, marketed, serviced and supported by one person - you. I am convinced that I made the best move at the right time.
